About the Role

Join the FairyLoot team as an Assistant Art Coordinator, where you will support the artwork side of the Book Development Team. You will work closely with our lead Art Coordinator and Book Development Team to manage artist relationships, organise creative schedules, and ensure that all visual elements arrive on time and meet our quality standards.

From drafting briefs and booking illustrators to updating databases and checking deadlines, you will help keep our artwork pipeline running smoothly. This is the perfect role for someone who is detail-oriented, highly organised, and excited to support the creative process behind the scenes.

Key Responsibilities

🧾 Art Brief Creation: Assist in the preparation and formatting of detailed artwork briefs, ensuring that artists receive clear, accurate information tailored to each project

πŸ—„οΈFile & Asset Organisation: Organise digital assets including artwork, graphics and more, ensuring a well managed file system and easy access for other teams.

🎨 Artist Communication and Coordination: Liaise with artists and illustrators to confirm availability, book projects, send reminders, and ensure that deadlines and expectations are clearly communicated

πŸ“† Artwork Scheduling & Artist Coordination:
Track and update our project management platforms with the illustration timelines, delivery dates, project capacity and artist availability to help keep projects on schedule and ensure the right artists are booked at the right time

πŸ“Š Artist Database Maintenance: Update and maintain our internal artist databases with information about availability, rates, visual styles, completed work, and project history

πŸ” Quality Checks: Conduct reviews of submitted artwork to ensure it meets technical and visual expectations, and coordinate any feedback or revisions with the artist

πŸ“§ Internal and External Communication: Share updates with the Book Development Team and coordinate approvals from key stakeholders during the artwork review process

πŸ’‘ Process Improvement: Propose ideas to streamline artist coordination, improve database structure, and strengthen our visual planning and communication workflows

Who We’re Looking For

  • A passion for books and book design, with a strong appreciation for illustration and visual storytelling
  • Exceptional organisation skills, with the ability to track multiple projects, deadlines, and collaborators at once
  • Clear and confident written communication, especially when drafting briefs, sending updates, or managing feedback
  • A detail-oriented mindset, capable of checking visual files for completeness, alignment with the brief, and delivery readiness

  • A strong understanding of FairyLoot’s aesthetic and the expectations of our subscriber base

Essential Skills and Experience

  • Proficiency in Adobe Creative Suite (Photoshop, InDesign, Illustrator)
  • Strong experience preparing print-ready artwork including foil, embossing, and special finishes
  • Exceptional typographic instincts and layout capabilities
  • Familiarity with genre-specific design aesthetics and key illustrators in the fantasy space
  • Excellent time management and organisational skills
  • Proactive mindset with strong problem-solving abilities
  • Clear communication skills and the ability to take feedback positively
  • Prior experience in a design studio or the publishing industry is desirable

Requirements

    • Some experience or skills in project coordination or administrative work (industry background not required)
    • A strong understanding of FairyLoot Editions and the types of artwork included in our special editions
    • Basic understanding of visual file formats, illustration workflows, and asset management
    • Familiarity with digital tools such as Google Suite (Docs, Sheets, Slides), Microsoft Office, and project management platforms
    • Ability to manage databases and maintain structured, well-organised internal records
    • Ability to maintain confidentiality and handle sensitive information with discretion
    • Legal right to work in the UK
